📚 How to Use the System

👨‍🏫 For the Admin / Lender:

  1. After purchasing, click the "Make a Copy" link sent to your email.
  2. Open the Google Sheet → Extensions > Apps Script > Deploy > New deployment > Web app. Set Execute as: Me and Who has access: Anyone, then Deploy and authorize.
  3. Open the Web App URL and log in using the default PIN: 1234
  4. Go to ⚙️ Settings: Set your Sender Name, configure your Follow-up Reminders, and edit your Email Template (now supports {penalty}).
  5. Add loans from the Installment or Friendly tab. For Installment, set the Term (months) and Penalty per Day. Set the Due Date (you can use past dates if you forgot to encode).
  6. Tap the 💰 button to view the Monthly Schedule, pay penalties, pause a month, or add payments. The balance updates instantly.
  7. Overdue loans turn red, and penalties accumulate automatically. Reminders are sent via email, detailing the exact balance and penalty.

⚠️ Important Note on Penalties & Reminders:

  • Penalties only apply to Installment loans (Friendly loans have 0% interest and 0 penalty).
  • The penalty counter starts the day AFTER the monthly due date passes.
  • If you set a past due date upon creating the loan, the system will instantly compute the penalty from that date up to today.
  • You can mark a penalty as "Paid" by clicking the Pay Penalty button in the Monthly Schedule. This logs the penalty amount as a payment.

❓ Frequently Asked Questions

What's the main difference between V2 and V3?
V3 introduces a Daily Penalty system, a Monthly Schedule table (Expected vs Paid vs Penalty per month), the ability to set past due dates for retroactive logging, and a "Pause Reminder" feature per month. V2 only tracked the total balance without monthly breakdown or penalty enforcement.
How do penalties work?
When creating an Installment loan, you can set a "Penalty per Day" amount. If a borrower fails to pay the expected amount for a given month by the due date, the penalty accumulates daily. You can view this in the Monthly Schedule table and mark it as paid by clicking "Pay Penalty".
Can I set a past due date if I forgot to encode the loan?
Yes! V3 removes the date restriction. If a borrower took a loan last month and you're only encoding it today, simply select last month's date. The system will automatically calculate the overdue status and accumulated penalties from that date to today.
What happens when a partial payment is made?
The payment is automatically distributed to the oldest unpaid month in the schedule. For example, if month 1 is unpaid and month 2 is unpaid, the payment will apply to month 1 first until it is fully covered.
Can I stop reminders for a specific month?
Yes. If a borrower asks for an extension, you can open the 💰 Payments modal, find the month in the schedule, and click "Pause". The system will skip sending reminders for that specific month.
