📚 How to Use the System

👨‍🏫 For the Landlord / Admin:

  1. After purchasing, click the "Make a Copy" link sent to your email.
  2. Open the Google Sheet and go to the Settings tab to change your Admin PIN and set your Sender Name.
  3. Deploy the Web App (Extensions > Apps Script > Deploy > Web app). Set access to "Anyone".
  4. Open the Web App URL and log in using your PIN.
  5. Fill up the form: Tenant Name, Room, Rent, (Optional: Advance/Deposit, Utilities), Move-in Date, and First Due Date.
  6. When the tenant pays, click Cash, Adv (Use Advance), or Dep (Use Deposit). The system smartly tracks partial payments!
  7. Once the balance reaches zero, the system moves the record to Payment History. Click Generate Next Month to create the next billing cycle!

⚠️ Important Note on the "Send" Button:

  • The system automatically checks and sends emails every minute in the background.
  • Sometimes, emails might be delayed by a few minutes due to Google's servers.
  • The "Send" button in the table is strictly for manual retries. Use it ONLY if the system completely failed to send the email.
  • Do not spam the "Send" button if the email is just late, otherwise, the tenant will receive duplicate emails!

❓ Frequently Asked Questions

What happens if the tenant only pays partially (e.g., pays 2,000 out of 5,000)?
The system will deduct the 2,000 from their Total Due, leaving a remaining balance of 3,000. The tenant's record stays in the "Active Rents" list. It will only move to "Payment History" once the entire balance is fully paid.
How are unpaid balances (utang) carried over to the next month?
If a tenant still has an unpaid balance when you click "Generate Next Month", the system will automatically add their unpaid amount to their new monthly rent. You won't have to manually track it!
Can I track water and electricity bills?
Yes! When adding or editing a tenant, you can check the "With Utilities?" box to input Water and Electricity amounts. If the tenant pays their utilities directly to Meralco/Maynilad, you can just leave the box unchecked.
Is my data secure?
Yes. The data is saved directly to your own Google Sheet. The dashboard is protected by an Admin PIN that only you know. No one else can view or edit your tenant records.
